Overview
RFP Response Assistant
RFPs arrive at the worst times — tight windows, scattered knowledge, and no single source of truth for what RBA has done before. This plugin gives the RBA business-development and sales team a repeatable, AI-assisted pipeline that transforms an inbound RFP into a structured, reviewable response package: compliance matrix, tailored answers drawn from the curated answer library, capability narratives, case study selections, and a final executive summary.
The plugin is platform-agnostic by design. Swappable adapters surface the right platform-specific proof points (Sitecore, Optimizely, Umbraco, Azure, Microsoft 365) depending on what the RFP is asking for, while keeping the response workflow consistent across every bid.
What's in the bundle
| Artifact | What it does |
|---|---|
rfp-shred skill |
Parses an inbound RFP document and produces a structured requirements register — every stated, implied, and evaluation requirement extracted and categorised so the team knows exactly what needs to be answered. |
build-compliance-matrix skill |
Takes the requirements register from rfp-shred and generates a full compliance matrix: requirement × response location × owner × compliance status × risk rating, formatted for Word export or as a working Markdown table. |
draft-rfp-section skill |
Drafts individual RFP response sections (technical approach, team structure, methodology, security posture, pricing narrative, etc.) by pulling from the curated answer library and tailoring the language to the specific client and opportunity context. |
select-case-studies skill |
Matches the RFP's stated requirements and evaluation criteria against RBA's case study library and returns the top 3–5 most relevant proof points, with a recommended narrative angle for each. |
draft-executive-summary skill |
Synthesises the full draft response into a punchy, client-facing executive summary — win-theme focused, evaluator-ready, and calibrated to the word or page limit. |
score-rfp-fit skill |
Runs a go/no-go qualification scorecard against the opportunity before the team commits to a full response — win probability, strategic fit, resource cost to bid, and a clear recommendation. |
rfp-reviewer agent |
Subagent that does a final compliance and quality pass on the draft response package: checks every requirement is addressed, flags gaps, scores the response against the stated evaluation criteria, and produces a prioritised fix list before submission. |
/rfp command |
Guided entry point for the full pipeline — from RFP arrival through shredding, matrix build, section drafting, and executive summary in one coherent flow. |
When to use this plugin
- Qualification: Run
score-rfp-fitwithin 24 hours of receiving an RFP to decide whether to bid — before anyone invests hours in writing. - Kick-off: Run
rfp-shredandbuild-compliance-matrixat the bid kick-off meeting so the whole team is working from the same requirements register, not their own interpretation of the document. - Drafting: Use
draft-rfp-sectionfor each response section — it pulls from the answer library so writers start from RBA's best existing content, not a blank page. - Case study selection: Run
select-case-studieswhen you have the requirements register — it matches platform, domain, and engagement-type signals to the right proof points. - Final assembly: Use
draft-executive-summaryonce all sections are drafted to produce the cover narrative that evaluators read first. - Pre-submission review: Run
rfp-revieweras the final gate — it checks compliance, flags gaps, and scores the response before it leaves the building.
How the answer library works
The plugin expects a local rfp-library/ directory containing RBA's curated answer library. Skills read from this directory to ground responses in actual RBA content. A starter structure is:
rfp-library/
capabilities/ # Service-line and platform capability narratives
case-studies/ # Project proof points with outcome data
security-posture/ # Security, compliance, and data-handling statements
certifications/ # Partner certs, accreditations, ISO statements
team-bios/ # Named practitioner profiles for team sections
boilerplate/ # Standard legal, pricing, and T&C language
Skills degrade gracefully when the library is sparse: they flag which sections need human-authored content and draft placeholders with guidance notes rather than hallucinating facts.
Platform adapters
The drafting skills apply platform-specific proof points when the RFP signals a preferred or evaluated platform:
- Sitecore XM Cloud / XP: composable DXP, JSS/headless, CDP + Personalize, Experience Edge
- Optimizely CMS / One: experimentation-led DXP, feature flags, content graph, commerce
- Umbraco Cloud: open-source, Azure-native, Examine search, custom workflows
- Azure: PaaS hosting, Azure DevOps, Application Insights, Key Vault, APIM
- Microsoft 365 / SharePoint: intranet, Teams integration, Power Platform
When no platform is named, the response uses RBA's composable/headless positioning with platform-agnostic language.
Installing
claude plugin install rfp-response-assistant@rba-ai-hub
Or install the full RBA marketplace first:
claude plugin marketplace add rbaconsulting/rba-skills-plugin
claude plugin install rfp-response-assistant
Permissions required
Skills in this bundle use Read, Write, Edit, Glob, and Grep for working with local RFP documents, the answer library, and draft response files. No external network calls are made — all content is sourced from local files. The rfp-reviewer agent operates read-only on the draft response package.
